This privacy notice explains how Trybe House Theatre CIC (“Trybe House Theatre”, “we”, “our”, “us”) collects, uses and protects your personal information. It applies to anyone who interacts with us, through our website, our programmes, our productions, partner organisations or by getting in touch directly.

Who we are

Trybe House Theatre is a Community Interest Company registered in England & Wales, Company No. 11613873. We use theatre and storytelling to support the wellbeing, confidence, and creative growth of young Black men aged 18 to 26 across London.

What information we collect

We collect the minimum information needed to deliver our work safely and well. Depending on your relationship with us, that may include:

• Contact details, name, email address, phone number, postal area
• Programme application information, age, school or referrer, interests, why you’d like to join
• Referral details, when a teacher, youth worker, social worker or friend submits a referral, we collect both their details and basic details about the young person
• Wellbeing information, voluntary disclosures shared with our Wellbeing Lead during 1-to-1 mentoring or group sessions, kept confidential to the support team
• Photography, video and recordings, where you’ve consented to be photographed or filmed during sessions, performances or events
• Communications, emails, messages and form submissions you send us
• Website analytics, anonymised usage data (pages visited, device type) if you’ve consented to analytics cookies

How we use your information

• To respond to enquiries, applications and referrals
• To deliver programmes, productions and creative commissions
• To safeguard the wellbeing of young people in our care
• To share opportunities, news and stories with people who’ve asked to hear from us
• To meet our reporting obligations to funders, partners and regulators
• To improve our work, what’s landing, what isn’t, where to invest next

Lawful basis for processing

Under UK GDPR, we process your data on one of the following bases:

• Consent, for marketing communications, photography release, and analytics cookies
• Legitimate interest, for delivering our programmes, responding to enquiries, and protecting our community
• Vital interest, where there’s a safeguarding concern affecting your wellbeing or someone else’s
• Legal obligation, where the law requires us to share information (e.g. with statutory safeguarding bodies)

How we keep your information safe

Personal data is held on secure, password-protected systems with access restricted to staff and trusted contractors who genuinely need it. We do not sell or rent your data to third parties.

Where we work with processors (cloud storage, email, payment platforms), we use providers with strong data protection commitments and we have appropriate agreements in place.

Sharing your information

We may share your information with:

• Our staff, facilitators, contractors and trustees, where necessary for delivery
• Partner organisations, where we’re delivering joint programmes (e.g. schools, theatres, funders), only with your knowledge
• Funders, where they require evaluation data, usually anonymised and aggregated
• Statutory authorities, where we have a legal duty to do so (safeguarding, court orders, regulators)

We will not share your personal information for marketing purposes without your explicit consent.

How long we keep your information

We keep personal data only for as long as we need it for the purposes it was collected, then delete or anonymise it. Specific retention periods vary, typically:

• Programme applications and participation records: 7 years
• Safeguarding records: 25 years (in line with statutory guidance)
• Marketing contacts: until you unsubscribe
• Financial records: 7 years (in line with HMRC requirements)

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Have inaccurate data corrected
• Have your data deleted (where there’s no overriding reason to keep it)
• Restrict or object to certain processing
• Receive a copy of your data in a portable format
• Withdraw consent at any time, where consent was the lawful basis

If you’re unhappy with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
